Volunteer Policy

 

Our Volunteer System

As young as WETT Swim Club is, we have always prided ourselves in forging a new path to improve our team.  If you look at all the successful USA Swim Clubs throughout our state, every one has a Volunteer Requirement Policy.  WETT has always existed with a small core group of volunteers.  In order to take WETT to the next level, we must extend and enlarge that group of volunteers, and tap into the power of our WETT families.  Our volunteer system will be a vital part of how we are able to practice at the best pools, run our Del Norte swimming competitions, continue to send our coaches to out-of-town swimming competitions, and ensure successful fundraising to cover the expenses of the best swim club in El Paso. 

 

In order to meet the volunteer requirements, WETT members must accrue a minimum number of hours each period during each season.  To make sure that every family contributes their time and effort to help the program, we have developed a system to help track the hours of participation to be spent helping out with the various in-town swim meets (timing & officiating), Del Norte meets (our hosted meet) and our fundraising.  The highest group of training your swimmer is enrolled in determines the number of volunteer hours your family needs to earn.  Failure to meet the minimum number of participation hours for each specified period will result in an assessment to the member’s account of $175.00 for each period whereby the minimum number of hours has not been met.  All members of WETT Swim Club are required to participate in the volunteer system, even if they do not compete in meets.

 

Volunteer Requirements

The level of volunteer participation is determined by your child’s swim group.  Find your family’s highest level of training in the chart below to figure out how many volunteer points your family must fulfill each season:

There will be 3 cutoff deadlines whereby a minimum number of hours will have been required.  Failure to meet the minimum number of hours during the 3 cutoff periods will result in an assessment of $175.00 to the members account for that period.  Since the majority of short-course events will take place during the first part of the season, members will be asked to complete 70% of the required short-course minimum by December 31.  The cutoff periods are as follows:

Mimi Murphy has been assigned the position of Volunteer Coordinator.  Mimi’s duties will consist of tracking each individual’s hours as well as assigning officials and timers for the local meets:  LCAT, SWAT, DSSC, Del Norte, EPAP and Border Champs.  It is anticipated that WETT will provide timers for 1-2 lanes at the following meets:

LCAT:  1 lane (2 people per shift; total of 4 shifts)

SWAT:  1 lane (2 people per shift; total of 4 shifts)

 DSSC:  1 lane (2 people per shift; total of 4 shifts)

 EPAP:  1 lane (2 people per shift; total of 4 shifts)

 Border Champs:  1-2 lanes (2-4 people per shift; total of 4-8 shifts)

**Each timing shift will consist of 1.5 hours.

For our BOWL-A-THON and WETT COOKBOOK fundraisers each $25.00 raised will equate to 1 hour towards the families minimum goal.

Volunteering Tips

Use the following tips to help you get the most out of your volunteering experience and avoid extra fees for unfulfilled volunteer hours.

  • Volunteer to help out and track your volunteer status through the Volunteer Coordinator, Mimi Murphy.
  • Sign up for the Del Norte meet by contacting Cindy Crane.  She will give you a list of the volunteer opportunities available during our Del Norte series hosted meets.
  • Sign up for the BOWL-A-THON fundraiser by contacting either Nancy Licon, Rocio Hernandez or Pati Baca.  They will give you a list of the volunteer opportunities available for this fundraiser.
  • Sign up for the WETT COOKBOOK fundraiser by contacting Nancy Licon.  The position of Cookbook Chairman is available.  Contact Nancy for a list of all volunteer opportunities available for this fundraiser.
  • Choose a position that suits you when you volunteer to help at swim meets and plan on staying for the whole morning or afternoon session.  Be open to changing positions, however, because we may ask you to fill a different slot if there is critical position with no volunteer.
  • Always check in with the Volunteer Coordinator (Mimi Murphy) when you volunteer.
  • Always keep track of your hours.
  • Arrive and leave on time.
  • If you cannot perform the task that you were assigned, arrange a back-up yourself. Also, leaving a position early with no backup will result in lost hours.

Additional Requirements

  • Families whose children participate in championship meets, such as TAGS, are required to volunteer for those particular meets, even if the family has already met its point requirements.
  • Volunteer points cannot be credited toward another season or family.
  • The Short Course volunteer period runs from September 1 through March 31, and families that join WETT after fall registration are responsible for fulfilling volunteer requirements on a prorated monthly basis.  If a family leaves WETT during the fiscal year, that family is responsible for paying fees for unfulfilled volunteer points on a prorated basis.  The fees will appear on the next monthly bill.
  • If you do not fulfill your family’s minimum volunteer hours by the required deadline, you will be assessed a $175.00 fee for that period.
